Conference Registration Questions

Collegiate staff or spouse: $520.00

Guest or other Navigator staff: $650.00

The registration fee covers all general sessions, two workshops, access to the exhibit hall, and the following five meals: two lunches (Thursday and Friday), beach party with a tailgate lunch (Saturday), and two dinners (Wednesday and Saturday).

If you would like to purchase breakfast vouchers for Thursday, Friday, and Saturday, you can do so through your online registration. See the NCC25 schedule for more details. 

Hotel reservations are separate from registration. See the Hotel Information page for more information.

Contact NCC@navigators.org to make any needed changes to your conference registration.

If you must cancel your registration, contact NCC@navigators.org.

If you cancel by October 18, 2025, you will be refunded all but $100 per person. However, no refunds will be given on or after October 19, 2025, unless the cancellation is due to a major medical issue. This non-refundable portion helps offset the expenses already incurred in anticipation of your attendance. 

Any refunds will be made using the original payment method.

You will sign up for workshops when you register for the conference. A list of workshops is available on our workshops page

At NCC25, watch for people with red lanyards. They are associated with sensitive ministries or locations and have asked not to be photographed. If these people appear in your photos, even in the background, do not post the photos on social media or use them in your ministry newsletters.

Hotel Questions

We have negotiated hotel room rates at the Sandestin Golf and Beach Resort. You may reserve additional nights for your personal stay at the same rate (plus tax) based on availability. See the Hotel Reservations page for details.

For your hotel room charges paid by p-card to be tax-exempt, you must download the tax-exempt affidavit, print it, fill it out, and present it upon check-in. All Navigator staff paying with a p-card are authorized to sign this affidavit. If you forget to bring this form, request one from the conference info booth and fill it out before you check in.

Note:

  • Additional nights at the hotel for your personal stay before or after the conference need to be charged to a personal credit card and are not tax-exempt.
  • Hotel reservation costs paid for with personal funds or a personal credit card cannot be tax-exempt, even if they will be reimbursed by The Navigators.

Funding and Financial Questions

Your registration fee will be transferred out of your cost center two to four weeks after you register.

Yes! Downloadable fundraising resources are available on the MPD Funding Package page. You can request free funding materials to send to ministry partners before August 1. Our MPD team is here to help: Contact MPD@navigators.org with any questions.

You may use your p-card or cost center to pay for your own travel expenses, including:

  • conference registration
  • transportation
  • hotel reservations for the days you’re there on Navigator business
  • meals that are not provided during NCC25

If your spouse is significantly involved in Navigator ministry and registers to attend the conference, you may use your p-card to pay for your spouse’s travel expenses (the items listed above), as well.

Children’s travel expenses are personal expenses and must be paid with personal funds. These include all travel expenses and any additional hotel fees (such as for a crib or rollaway bed).

You may also use your p-card to pay for expenses related to your staff team. “Entertainment” is an appropriate business expense, but the entertainment needs to be connected to your job; for example, to build relationships with your co-workers. If two or more co-workers participate in an activity (like bowling) together, it can be considered business entertainment. When you complete your expense report, file business entertainment items as “Meals/Entertainment – Meetings/Ministry.”

Note: To pay for the additional costs related to attending NCC25, you may need to increase your p-card limit for the month of November. Send your request to Accounts Payable (ap.team@navigators.org).

Other Questions

There will be no structured children’s program at NCC25. Based on feedback from previous conferences, we’ve learned that parents prefer a drop-in space for them to care for their children with access to toys, snacks, a nursing area (a refrigerator will be available), and a changing area.

We will provide a cry room for children ages 3 and under. Parents will need to supervise their children at all times. We will have a limited number of Pack-n-Plays available on a first come, first served basis. Note: We will clean the room at regular intervals and can’t guarantee interruption-free naps.

Yes, you can purchase a meal plan for your spouse and child(ren) during online registration. Note: Prices below include gratuity.

If you choose for your family to eat breakfast in the Hotel Effie Juniper Ballroom, you will need to purchase breakfast vouchers for your spouse and child(ren). Each member of your family will need his or her own ticket for breakfast.

No, but when you register, you can opt to purchase breakfast vouchers for Thursday, Friday, and/or Saturday. Breakfast vouchers cost $19 per day and will be charged to the same cost center used to pay for conference registration

Breakfast will be provided in the Hotel Effie Juniper Ballroom Foyer to those who have purchased vouchers. Breakfast vouchers will be collected daily, and each person will need his or her own voucher for each breakfast. Attendees without vouchers will not be allowed to go through the breakfast lines.

If you prefer to buy your own breakfast elsewhere or eat at a nearby restaurant, you do not need to purchase breakfast vouchers. Breakfast vouchers will only be accepted at the breakfast buffet lines in the Hotel Effie Juniper Ballroom Foyer; they will not be accepted anywhere else in the resort.

Please let us know of your dietary needs when you register. The hotel is able to provide options for those who are gluten-free, dairy-free, and vegetarian. The hotel will do what they can to accommodate other specific food allergies. All breakfast and lunch buffet lines will have information displayed for dietary restrictions. Specific boxed lunches will be available during the boxed lunch day.
